How will we manage special topics/courses that have a modifier?​

These courses will follow the standard course section naming convention with the addition of the modifier at the end (e.g. ENG 435 A-A).​

Will schedulers have the ability to view where a room assignment overlap/conflict is, rather than just receive an error that the room has been taken?​

Schedulers will receive an error message if a room is unavailable when creating a course section, and we are working to develop some reports to provide increased visibility into where the conflict/overlap is occurring.​

Can “unique” courses (e.g. study abroad) be built outside the academic period dates?​

No, all courses must be created within the academic period dates.

How will we build abbreviated courses that do not last the full academic term (e.g. course duration is 1 week, 7 weeks, etc.)?​

Workshop courses can be built with any start/end dates so long as they do not fall outside the start and end dates for the academic term.​ Unless otherwise approved by the Office of the University Registrar, all other courses (non-workshop) should use the non-standard academic period dates.​

How will attributes (e.g. study abroad, workshop, etc.) be incorporated?​

Most things known as attributes in Banner are referred to as tags in Workday. Tags live in two different places: the course and the course section. Any tags that live on the course cannot be changed, but additional tags can be added at the course section level.​

Will scheduling responsibilities be pushed to schedulers as tasks, or will we be able access scheduling tasks directly using our own login?​

All schedulers will be placed in a specific security group in Workday that allows them to access the different scheduling tasks from their own account.​

Will schedulers be restricted to only create courses within their department?​

No, because we so frequently deal with cross-listed (or what will be referred to as overlap in Workday) courses, we couldn’t apply restrictions that allowed schedulers to only develop courses within their department. Leadership trusts that everyone will do the work they are responsible for, and therefore did not want to restrict anyone in case there are special circumstances, such as covering for another area or department.​

What’s happening to term codes with the transition to Workday? How will terms be displayed in Workday?​

Term codes (e.g. 202710) will be retired with the transition to Workday. Terms in Workday will be
referred to as “2027 Fall Semester” as an example.​

Will course sections roll forward from semester to semester or does each term require a new schedule to be created completely from scratch?​

Schedulers will have to build the first academic year of course sections in Workday and then the course sections will roll from like terms just as they did in Banner as long as there is not a major change to the structure of the academic calendar (e.g. completely changing the parts of term). If we have to add a new part of term, resulting in a new academic calendar, then we would be required to create the entire academic year again. The likelihood of this is not high, and it is our goal to prevent it for as long as possible.​

How will courses be uniquely identified? Will Workday assign CRNs or is there a Workday equivalent to the CRN?​

CRNs are unique to Banner. Course sections in Workday will be identified by the section code (e.g. ENG 111-A, ENG 111-B, etc.) Students, staff, and faculty will all view these section codes in the same format.​

Can the “Create Course Section” page be altered?​

No, this page cannot be altered/changed.​

What information will pre-populate from the course down to the course section, and what fields will need to be populated by the course schedulers?​

The information that pre-populates from the course to the section will display when you start the course section creation process. The schedulers will need to populate any other required information. More detailed instructions will be provided as we approach training delivery.​

What does the “Projected Enrollment” field do?​

Like the “Projected” field in Banner, this will give the Office of the Provost an idea of the anticipated enrollment in a course section while allowing the department to manage actual capacity.​

Will there be a section for Course Comments?​

Yes, “Public Notes” will be viewable on the schedule for anyone to see, similar to the text currently entered in SSATEXT, and here you don’t have to worry about entering a special character to get it to appear.​

Will departments be able to input unique meeting times when creating course sections?​

We have added the “Standard Fall/Spring” and “Standard Summer” time blocks for easy entry while creating a course section.​

Does Workday location search show all available locations, or only locations that are available for that meeting pattern?​

In an effort to be as transparent as possible, we want to recognize that this will be a bit of a challenge in Workday. We are working on a report to assist with identifying an open location for a course section based on meeting pattern because Workday does not display this like Banner did. However, Workday provides good guardrails through error messages with detailed descriptions which you will receive if you enter a location that has already been added while building a course section.​

How can we view cross-listed courses in Workday and who can schedule them?​

The “cross-list” term does not exist in Workday. In Workday, the term “overlap” is used when two or more courses share the same meeting pattern and location. More will be relayed as we approach formal training, but it is important to know now that if courses are not properly overlapped, only one course will carry the location when the course is published.​

How will instructor eligibility work in Workday? Are all instructors able to be selected for all courses, or will they be limited to specific modalities?​

Instructor eligibility will continue to be managed by HR/Academic Personnel. Instructors will either be listed as “instructor” or “co-instructor.” Start date of the course and the new instructor will need to match an effective date. A singular individual will be identified as the instructor, and the rest will be listed as co-instructors; Workday does not allow more than one person to be listed as an instructor.​

For those of us who are used to printing our work so we can review it and validate it, is that possible in Workday? If not, what does the process look like in the system to review your work?​

We are developing reports to give us the equivalent of the “Banner proof” functionality, so if you are used to printing to proof your schedule, you should be able to continue to do so.​

How often will advisors use Workday?​

Advisors will likely use Workday daily to access important 消消犯 information and key advising tasks, with increased usage during peak advising periods (i.e. registration).​

Workday will also be used for reports, similar to BI reports. Standard reports will be accessible from the advisor dashboard.

With the transition to Workday, what will happen to Navigate?​

​Miami will retain the Navigate system. Navigate will integrate with Workday to provide a seamless advising process. Advisors should plan to continue standard Navigate tasks (i.e. advising meeting scheduling and appointment summaries).​

Will Miami still use Banner?​

Starting with 2027 Fall Semester registration, Banner will no longer be used. Advisors will use Workday for many things that they currently look up in Banner, such as holds, time tickets, advisor assignments, and prerequisites, and more.

Who will have access to 消消犯 information?​​

Workday allows assigned, minor, and certificate advisors to access their 消消犯s’ information.​​

Will administrative support staff have visibility into 消消犯s’ grades, course history, and Academic Progress Report (APR)?​

Access remains determined by FERPA. Workday offers more security access controls than Banner Self Service (i.e. it can limit access to certain programs, divisions, etc.)​

Will there be a “sandbox” environment for advisors to practice key tasks?​

Yes. There will be robust training materials available to advisors. They will have the opportunity to practice sample scenarios in a Workday learning environment.​

Will advisors be able to access a “消消犯 view” in Workday?​

No. To help advisors understand the 消消犯 experience in Workday, demos and trainings will be offered that showcase the 消消犯 perspective.​

Is the Academic Progress Report (APR) the new “DAR”?​

Yes. The APR will function similarly to the Degree Audit in terms of being the official document used to confirm graduation. While the display will look different from a degree audit, it will show in progress and completed requirements. ​

Will academic plans help with registration planning?​

Students can save schedules for ease of registration, including first-choice and back-up plans. They can then register for classes based on their saved schedules in Workday.

Will 消消犯s be able to create multiple versions of an academic plan? Will one be considered the “master version”?​

Students can create alternate plans using provided templates or from scratch. They can include options like additional majors, minors, study away programs, and more. One plan will be considered the Primary Plan, which will be submitted for approval. We can run reports on approved plans and can see which plans have been updated or changed but not yet submitted for approval.​

Will 消消犯s be able to run “what-if” scenarios? Is there an AI involvement?​

Yes. Students will be able to run a “what-if” APR to consider how their credits apply to another major. Similarly, 消消犯s can create alternate academic plans for various program combinations they may be considering. Currently, there is no direct AI involvement in these processes within Workday.​

Will advisors be able to see 消消犯 holds?​

Yes. Advisors will be able to see 消消犯 holds because they play an important part in helping 消消犯s resolve holds before registration. ​

Can advisors lift holds like in SOAHOLD or only see what holds are imposed?​

Yes. Advisors will have access to lift holds they currently can.​

Will there be options for different kinds of holds in Workday?​

While Workday provides increased flexibility when it comes to 消消犯 holds, university leadership is in favor of leveraging a reasonable number of holds to avoid an extensive list that becomes difficult to maintain.​

Will advisors have access to 消消犯s’ transfer credits?​

Yes. Advisors can view their advisees’ transfer credits through the 消消犯 profile. A tab titled External Records will display the 消消犯s’ final grades from their previous institution. Transfer credits will display on both the APR and APT (Academic Plan Template).​

Will grades from transfer courses count towards a 消消犯’s Miami GPA?​​

No. Transfer credit grades are not counted in a 消消犯’s Miami GPA.​

Workday will have Academic Progress Reports and Navigate has a Progress Reports section. How will Miami minimize confusion between the two?​

This will be an ongoing education point for advisors. Additional training and communication about the difference between the two will be provided as we approach the go-live date.​

Will there be a public-facing view of the course schedule?​

Yes. There will be made available to individuals who need to access it. Details about how and where people will access the public-facing schedule have yet to be determined.​ ​

Workday doesn't have a native public-facing section schedule, so institutions develop their own. The Office of Data Research and Analytics within EMSS will develop Miami’s.

Where will certificate 消消犯s fall? Will the certificate be an academic grouping like minors or will certificate 消消犯s form a cohort?​

A certificate will be considered a Program of Study, similar to a minor. These 消消犯s will also have an assigned certificate advisor.​

In the Nursing Department, we have faculty and clinical coordinators that oversee clinical sites and work with all nursing 消消犯s. Will this be addressed?​

Yes. Course coordinators have been accounted for in Workday. They will be able to access the needed 消消犯 information.​

How will College Credit Plus (CCP) be handled in Workday?​​

CCP 消消犯s will be in a CCP Program of Study or Early College Academy Program of Study. They will have assigned advisors in Workday like other undergraduate 消消犯s.​​​

Will Navigate connect with Workday?​

Workday will feed information into the Navigate system, just as Banner currently does.​

Will 消消犯 support staff be granted the same level of security they were in Banner as it relates to viewing 消消犯 information?​

Workday provides more security tools​ than Banner so one-for-one security permissions are not guaranteed. Security needs are being closely examined by the project team to ensure that offices have access to the information they need to do their jobs and support 消消犯s; they also are working to ensure that individuals do not have more access than what is necessary.​ ​

It is important to note that security in Workday will be role-based, not user-based. As employees transition between roles at the University, their access may be shifted.

Who is responsible for adding a 消消犯 to a cohort?​

There are two types of cohorts in Workday: logic-based and manual. Logic-based cohorts use data on the 消消犯 profile to place 消消犯s within their appropriate cohort(s) based off predetermined logic rules. Manual cohorts are maintained either by an individual or a specific office; both adding and removing 消消犯s is the responsibility of the ​individual or office for such cohorts.

Is there a limit on the number of 消消犯 cohorts we can create?​

While there is not a specific limit for how many cohorts we can have at the University, it is important to consider the maintenance required for cohort management. For cohort use to be successful, the designated owner(s) must be invested in the work of maintaining the cohort.​

Can 消消犯 cohorts be used to determine how specific 消消犯s register for classes?​

Yes. The Office of the University Registrar is responsible for building the specific rules surrounding course registration for 消消犯 cohorts.​

Can you view assignment results?​

You can see cohort membership if you need to view all the 消消犯s within a cohort. ​ ​

Additionally, you can see all assigned advisors and support staff for individual 消消犯s through their “Support Network.” It will list advisors’ names, their role, and the cohort they have been assigned.​

Is there a universal search tool available in case I’m unsure what specifically I’m trying to locate?​

Yes. Workday has a global search bar that can be accessed from any screen within the system interface. Search is helpful in finding key tasks, reports, and people.​

What is the difference between Financial Aid and Student Financials?​

Financial Aid refers to monetary assistance provided to 消消犯s that helps cover educational expenses, such as grants, scholarships, loans, and work-study programs. Student Financials is the area within Workday designed to manage and streamline financial operations for 消消犯s, including tuition balances, payment plans, and more.​

Will 消消犯s who are participating in study abroad programs be able to view their study abroad advisor in their support network?​

If an office is using cohort functionality, 消消犯s will be able to see their advisor. Currently, study abroad 消消犯s are not a planned cohort. ​ ​

However, this decision may be revisited in the future. If a clear use case is identified, updates can be made accordingly.​

Will Miami still use Banner?​

Once the University has fully transitioned to Workday in the fall of 2027, Banner will no longer be used.​
